# Zefinity — ODM request for quotation template

Version: 1.0 · 2026-10-07

Response requested by: [date, time zone]

This is an editable planning template, not a contract, supplier endorsement or compliance assessment. Adapt it to the product. Do not include confidential technical information until appropriate disclosure arrangements are in place. Mark an unknown as “to be confirmed” rather than inventing an answer.

## 1. Product and intended use

- What is the product, who uses it, and what problem does it address?
- Where and how will it operate? Describe installation, duty cycle, environment and expected handling.
- Which markets are planned? Who is responsible for identifying applicable product requirements?
- What is the current stage: concept, demonstration, engineering prototype, production design, or existing product?
- What reference information is included? List document names and revisions.

## 2. Requirements and open choices

| Requirement | Must-have or preference | Target / constraint | Evidence or test needed | Owner / open issue |
| --- | --- | --- | --- | --- |
| Core function | [ ] | [ ] | [ ] | [ ] |
| Size / materials / appearance | [ ] | [ ] | [ ] | [ ] |
| Power / battery / charging | [ ] | [ ] | [ ] | [ ] |
| Connectivity / software | [ ] | [ ] | [ ] | [ ] |
| Operating conditions | [ ] | [ ] | [ ] | [ ] |
| Packaging / accessories | [ ] | [ ] | [ ] | [ ] |

List trade-offs the supplier may propose. Ask the supplier to identify assumptions, missing information and any requirement it cannot meet.

## 3. Requested work and ownership

For each item, specify: customer-owned / supplier-owned / separate specialist / to be agreed.

- Product architecture and engineering development
- Industrial and mechanical design
- Electrical design and component selection
- Firmware, application software and cloud integration
- Prototype fabrication and sample evaluation
- Design-for-manufacturing and assembly review
- Verification, specialist testing and product-market requirements
- Tool design, manufacture, acceptance and maintenance
- Manufacturing process, test fixtures and work instructions
- Packaging, labeling and accessories
- Production quality, traceability and non-conformance handling
- Logistics, shipment terms and post-launch support

Clarify ownership, access and handover of drawings, design files, BOMs, source code, tooling and fixtures. Identify the need for product-specific contractual advice rather than assuming ownership from the supplier label.

## 4. Quantities, timing and commercial assumptions

| Scenario | Indicative quantity | Intended purpose / period | Confirmed or forecast? |
| --- | --- | --- | --- |
| Development samples | [ ] | [ ] | [ ] |
| Pilot build | [ ] | [ ] | [ ] |
| Initial production order | [ ] | [ ] | [ ] |
| Longer-term volume | [ ] | [ ] | [ ] |

Target cost, if used: [currency / what is included / scenario / assumptions]
Timing priority: [desired date / dependencies / what can change]

Ask the supplier to distinguish feasible timing from an unvalidated target. Forecasts are planning assumptions, not purchase commitments.

## 5. Requested supplier response

Please provide a response with these sections:

1. Relevant capability: comparable work, engineering resources, critical processes and subcontracted work. Explain the relevance of each example.
2. Proposed platform or approach: what exists, what changes, and what requires new engineering.
3. Scope and exclusions: responsibilities, deliverables, design access and assumptions.
4. Cost breakdown: development / NRE, tooling, fixtures, samples, unit cost by volume, testing, packaging, freight and any excluded charges. State currency, validity and payment assumptions.
5. MOQ and material commitments: prototype, pilot and production minimums; long-lead or non-cancellable commitments.
6. Schedule: milestones, dependencies, customer inputs and decisions required.
7. Quality and verification: evidence applicable to this project, acceptance approach, change control, traceability and corrective-action process.
8. Open questions and risks: items that must be resolved before development, tooling or production commitment.
9. Contacts: responsible engineering, commercial and quality leads.

## 6. Clarification and decision log

| Date | Question / change | Supplier response | Effect on cost, scope or timing | Owner | Status |
| --- | --- | --- | --- | --- | --- |
| [ ] | [ ] | [ ] | [ ] | [ ] | [ ] |

Send each candidate the same released brief. Record revisions and distribute material clarifications consistently. Compare responses using the accompanying Zefinity RFQ comparison CSV; do not equate missing information with acceptance.

## 7. Before the next commitment

- Are all quotes based on the same revision, quantities and scope?
- Are one-time, recurring and excluded costs separated?
- Have key capability claims been supported with relevant evidence?
- Are ownership, acceptance and change responsibilities documented?
- Which unresolved issues affect the decision, and who will close them?
