A better supplier brief starts with better questions

Before asking for a quotation, clarify the product, quantities, responsibilities, and evidence you need. A useful brief makes supplier responses easier to compare.

Supplier selection starts before the first quotation. A clear request gives potential manufacturing partners the information they need to identify assumptions, ask useful questions, and explain their capabilities.

Describe the product and project stage

Explain what the product does, which parts of the design are complete, and what support is needed. Distinguish between an early concept, a functional prototype, a design prepared for manufacturing review, and an existing product that needs another source.

Share comparable inputs

Provide the same revision of drawings, requirements, and bill of materials to each supplier. Identify confidential materials and agree an appropriate process for sharing them.

  • Expected order quantities and a realistic demand range.
  • Target markets and known product requirements.
  • Materials, finishes, dimensions, and tolerances that matter.
  • Testing, inspection, packaging, and labeling expectations.
  • Required tooling, fixtures, software, or engineering support.

Separate price from assumptions

Ask suppliers to identify what is included, excluded, or provisional. Clarify ownership of tooling and design outputs, change-control responsibilities, payment milestones, and the basis of delivery terms with the appropriate commercial advisers.

Evaluate the evidence

A capability statement is useful context, but the decision should also consider relevant processes, communication, technical questions, and how the supplier proposes to control quality. The right evidence depends on the product; a polished presentation alone is not a manufacturing qualification.

Keep a record of open questions

Use a shared comparison sheet for assumptions and follow-up actions. Resolve important differences before treating quotations as directly comparable.
